Site Inventory Tools

Site inventory tools let users view stock, track movements, request items, receive deliveries, submit returns, and transfer items between sites.

Purpose

If a Site User has the correct permissions, they will be able to open a site and access a set of inventory tools. These tools allow users to view inventory currently on the site, request new items, receive deliveries, submit returns, and manage transfers between sites.

Each tool serves a different purpose in the stock control process.


Inventory

This is a real-time log of all inventory issued to the site.

The Inventory tab displays:

  • All components that have been issued to the site

  • The total weight of all items at the site

  • Weight broken down by each yard, location, or source of delivery

  • Current availability and detailed quantities per item

  • Supplier information if the item is cross-hired

  • Total movements to date, including deliveries, returns, transfers and over-returns

This provides a complete overview of what is on the site, where it came from, and how much is stored there at any moment.

Report
Description

Revenue Report

Calculates the financial value of all items currently on the site based on your pricing configuration set out in the component in the Hire Cost field. Used for billing, project costing, or rental revenue tracking.

Replacement Cost Report

Shows the total replacement cost of all items issued to the site. This uses the pricing configuration set out in the component in the Replacement Cost field. Useful for insurance, damage claims, and client back-charging.

Price List

Displays the item price per unit (hire rate or sale rate) for every component currently on site. This reflects the pricing configuration set out in the component in the Selling Cost field. Can be shared with clients or used internally for estimating.

Inventory PDF

A downloadable PDF summarising all inventory movements on the site, including quantities and weights. Used for handovers, audits, and client reporting.


Inventory Movements

This page shows every stock movement that has occurred on the site, including:

  • Deliveries in

  • Returns out

  • Transfers to or from other sites

  • Over-returns

Users can filter movements by:

  • Type of movement

  • Date range

This page gives full traceability of how stock arrived, where it went, and who performed each action.


Requests

Requests for inventory are used when a site needs additional inventory. Site users fill out the request form with the required items and quantities, then submit it to the Inventory Management section for approval and processing.

Site Users can:

  • Create a request for items, tools, components, or materials

  • Submit the request to the yard or inventory controller for processing

  • View the status of all pending and completed requests

Only users with the correct permissions can submit a request.

Requests prevent stock from being issued without approval and ensure all deliveries are recorded.


Deliveries

This tab shows all deliveries going to or already completed on the site.

Two scenarios exist:

  1. Deliveries that require signing

    • The site user reviews the items

    • Confirms quantities

    • Signs electronically

    • The stock is then added to the site inventory

  2. Deliveries sent directly

    • If items are sent immediately and arrive with site staff present, the system can update stock automatically

    • The user can still open the delivery record and download the PDF delivery note at any time

In this tab, Site Users can:

  • View upcoming deliveries/outbound deliveries

  • Sign for deliveries

  • Download PDF delivery notes

  • Review completed deliveries


Returns

Used when a site needs to send inventory back to a yard or storage facility.

From this tab, Site Users can:

  • Create a return

  • Select items and quantities to send back

  • Attach photos or notes

  • Submit the return to arrange for collection

  • View pending collections

  • View all completed returns with downloadable PDFs

This ensures items leaving site are documented, photographed if required, and signed for at the receiving yard.


Transfers (Site-to-Site)

Transfers allow a site to send inventory directly to another site without returning it to the yard first.

This:

  • Saves time

  • Reduces transport

  • Keeps stock accurate across all active sites

Users can:

  • Select the transfer from site and the transfer to site

  • Choose items and quantities

  • Submit the transfer for processing

  • View pending and completed transfers

Transfers update both sites instantly once processed.
