Quick solutions for common request issues, including missing deliveries, no approve button, low stock, incorrect quantities, and permission errors.

1. I approved the request but don’t see the delivery

  • Ensure you are viewing the Pending Deliveries accordion inside the Deliveries tab.

  • Try searching by Site Name, Reference, or Delivery Code.

  • If your role does not have permission for Deliveries, you will not see it. Contact your admin to add: Manage Deliveries permission.


2. The system says quantities exceed available stock

This warning comes directly from real-time inventory.

Options:

  • Reduce the request quantity

  • Issue partial stock

  • Backorder remaining stock

  • Send an immediate transfer from another yard if permissions allow


3. I cannot see the Approve or Void buttons

This means you only have request viewing rights.

You must be granted:

  • Approve Requests

Your Admin can update permissions in Roles & Permissions.


4. Request was approved by mistake – can it be undone?

Once approved, the record becomes a Pending Delivery.

To reverse it:

  • Open the Pending Delivery

  • Void the delivery. This moves the request into Voided Deliveries and prevents dispatch.


5. I approved a request but quantities are wrong

No problem. Edit the Pending Delivery:

  • Add or remove items

  • Change quantities

  • Change dates

  • Add driver or documents

The request only becomes locked once it is delivered and signed for.
